Onsite Rapporteuring

Your event, captured by professionals who is in the room.

Our rapporteurs will be present at your event to capture and summarize key discussions, decisions, and outcomes. They sit through every session, follow the conversation as it unfolds, and turn what was said into a clear written record your stakeholders can use.

What is onsite rapporteuring?

Onsite rapporteuring means a trained rapporteur attends your meeting, conference or workshop in person. Unlike a recording or an automated transcript, a rapporteur does not just capture words. They identify what matters: the arguments made, the positions taken, the agreements reached and the actions that follow.

Being physically present matters because a rapporteur can:

  • Read the room, including who is speaking, who is responding and where a discussion is heading
  • Pick up on side-sessions, breakouts and panel exchanges that a single recording would miss
  • Clarify a name, a figure or an acronym with a speaker or organizer on the spot
  • Adapt instantly if the agenda shifts or a session runs long

What our onsite rapporteurs do

  • Attend and observe the full programme, including plenaries, panels and breakout sessions.
  • Capture key points of every presentation and discussion in structured notes.s
  • Record decisions and action items, including who owns each one and any stated deadlines
  • Track resolutions and recommendations so nothing agreed is lost between sessions
  • Deliver daily or end-of-event summaries where your programme calls for them
  • Hand over a polished report in your preferred format (see our Final Report Writing and Minutes Writing services)
